This Privacy Policy explains how RailMi collects, uses, discloses, and safeguards your information when you visit our websites, place orders, request a site survey, submit engraving files, or otherwise interact with us. By using our services, you agree to this Policy.
 

1) What We Collect

Information you provide

• Account & contact data: name, email, phone, billing/shipping address.
   
• Orders & payments: items purchased, order total, shipping details.
  Payments are processed by our payment partners (e.g., [Stripe/Square]). We do not store full card numbers.
   
• Site Survey ($50 credit): service preference (in-person/virtual), address, photos/videos of rails, rail specs, notes about HOA/venue rules and use cases.
   
• Engraving uploads: text, fonts, logos, images; your instructions and approvals.
   
• Support & sales messages: questions, feedback, wholesale/trade inquiries.
   
• User-generated content: photos/reviews you share with us or tag for permission to repost.

• Device/usage data: IP address, browser type, pages viewed, time on page, clicks, referring/exit pages.

6) Data Retention

• Orders/transactions: typically 7 years for tax and accounting.
   
• Engraving files & proofs: retained for reorders/warranty up to 24 months unless you request deletion sooner.
   
• Site survey media: retained up to 24 months to support recommendations and warranty; deletable on request after service completion.
   
• Analytics data/cookies: typically 13 months (or shorter where required).
   

7) Security

We use administrative, technical, and physical safeguards appropriate to the nature of the data. No method of transmission or storage is 100% secure; please use strong, unique passwords and contact us if you suspect unauthorized activity.

8) Children’s Privacy

Our services are not directed to children under 13 (or 16 in the EEA). We do not knowingly collect such data. If you believe a child provided data, contact us to remove it.

9) International Data Transfers

If you access our services from outside the U.S., your data may be processed in the U.S. For EEA/UK transfers, we rely on appropriate safeguards (e.g., Standard Contractual Clauses) with our processors.

We may update this Policy from time to time. We’ll post the new “Effective date” and, where required, notify you of material changes.
